THE PURCHASING DIVISION AND THE GREATER FORT LAUDERDALE CONVENTION & VISITORS BUREAU RECOMMEND APPROVAL OF THE ABOVE MOTION.
The Office of Economic and Small Business Development did not reserve this project for Small Business Enterprises under the Sheltered Market Program, or assign County Business Enterprise participation (Exhibit 2).
The purpose of this solicitation is to establish a Qualified Vendors List (QVL) to provide various event-related services for the Greater Fort Lauderdale Convention & Visitors Bureau (CVB) on a project-specific, as-needed basis. The establishment of this QVL provides the CVB with a mechanism to solicit competitive quotes from a list of pre-approved vendors on a project-specific basis, as the need for such services becomes necessary.
The CVB may procure event-related services through this QVL such as audio, visual and lighting, catering, fireworks, floral, gift baskets, plant rentals, photography and video production services, decorators/exhibition services, destination management companies/special event production services, charter yachts, banners, printing, promotion items, entertainment, party supplies and rental services. Once a project-specific need has been established, the scope will be assessed for goal assignment and insurance requirements.
Sixty-six vendors responded to Solicitation No. GEN2117351B1. Sixteen vendors are being recommended for inclusion on the QVL as those firms have submitted all required documentation (Exhibit 3 and Exhibit 4). The remaining vendors will be added to the qualified list at a later date, pursuant to the authority of the Director of Purchasing, upon submission and acceptance of the requisite documentation. The Purchasing Division will periodically re-advertise the solicitation to refresh the list as needed.
In accordance with the Broward County Procurement Code, Section 21.42.d, the County Attorney's Office has reviewed the solicitation and has approved the legal requirements of the QVL.
The solicitation posted on January 15, 2019 and opened on March 1, 2019; 66 responses were received with five declinations (Exhibit 1).
