THE PUBLIC WORKS DEPARTMENT/TRAFFIC ENGINEERING DIVISION AND THE PURCHASING DIVISION RECOMMEND APPROVAL OF THE ABOVE MOTION.
On June 12, 2012 (Item No. 32), the Board of County Commissioners approved the Agreement with Radiant Systems, Inc. to maintain and support the FasTrac software for Traffic Engineering Division, from June 26, 2012 to June 25, 2013 in the annual amount of $30,000, and authorized the Director of Purchasing to renew the contract for four one-year periods, for a total five-year potential amount of $150,000. The fourth one-year renewal of this Agreement will expire on June 25, 2017.
FasTrac is a custom-developed, proprietary software for Traffic Engineering Division. It is used to assign and manage maintenance work orders for the traffic network. As part of the county-wide ERP project, FasTrac will be replaced by AssetWorks, the County’s standardized work order and asset management system. Facilities Management Division is coordinating the implementation of AssetWorks at multiple agencies throughout the County. Based on the current schedule, AssetWorks will be implemented at Traffic Engineering Division during the first quarter of Fiscal Year 2018. When installed, it is anticipated that both FasTrac and AssetWorks will run concurrently for a period to allow for uninterrupted work order system usage, and to ensure continuity of public records retention and preservation.
The proposed Amendment will provide for continued maintenance and support of the FasTrac software until its replacement by AssetWorks. The amendment will extend the optional one-year renewal periods for three additional years, for a total of seven year and will increase the not-to-exceed maximum from $150,000 to $240,000. The cost will remain at $30,000 per each one-year term.
A Sunshine Meeting was held to negotiate this Amendment on May 15, 2017. This meeting was attended by representatives of Radiant Systems, Inc., Office of the County Attorney, Purchasing Division and Traffic Engineering Division.
This Amendment has been reviewed and approved as to form by the Office of the County Attorney and the Risk Management Division.
